Swimming with Natalie's EQUAL OPPORTUNITIES POLICY:

We believe that all employees, swimmers and parents/carers have the right to be treated with dignity and respect and we will not condone or permit harassment or discrimination.

General Data Protection Regulation (GDPR)

We are fully compliant with GDPR and would like to reassure all our members that we only collect the necessary information that is needed for our enrolment process to facilitate your child’s swimming classes. This information is only shared within our swim school for the period of your enrolment. We do not pass your information to any third party.

We also send out email updates which you are welcome to opt out of. If you choose to opt out of the email, you will not be informed of term times and class changes or cancellations. Medical details are only kept with regards to relevance within your child’s swimming lessons. Information is only shared with the swim instructor (if necessary) and kept locked and will not sell your information. We will not share your information with any third party except as stated in this Privacy Notice or as required to operate the Sites or provide our services to you.

WEBSITE VISITORS:
Data Collection: We collect the following Personal Data about you if you visit one of our Sites: site referrals, browsing pattern, browser type, location, general interests, gender, age. The data transmitted from your browser includes your IP address, the date and time of the visit the pages accessed, the access status/ HTTP status code, your browser, your operating system and interface, as well as the language and version of the browser software. The legal basis for collecting and processing this personal data is our legitimate interest in operating the Sites, providing you with access to the pages you wish to access, understanding the interests of our potential customers and providing you with relevant information about our services.

Swimming with Natalie will not sell your information. We will not share your information with any third party except as stated in this Privacy Notice or as required to operate the Sites, provide our services to you or otherwise as required or permitted by law. We regularly review our security systems to ensure that your Personal Data remains secure.


SWIMMING WITH NATALIE'S PRIVACY POLICY:

CUSTOMERS COLLECTION:
We collect the following Personal data from or about you as a Swimming with Natalie customer:
Personal Data Collected Directly from you through the booking process: your name, your children’s name(s), phone number, postal address, email address, gender and ages. Our legal basis for the collection and processing of this data is the provision to you of the services purchased by you.
Personal Data Collected Automatically from the use by you of the Sites. The data transmitted from your browser includes your IP address, the date and time of the visit the pages accessed, the access status/HTTP status code, your browser, your operating system and interface, as well as the language and version of the browser software. The legal basis for collecting and processing this personal data is to be able to operate the Sites and provide you with access to the pages you wish to access.

To personalise your experience with us (your information helps us to better respond to your individual needs)
To improve our website (we continually strive to improve our website based on the information we receive from you)
To send periodic e-mails re term start dates and informing parents about pool closures, etc . The e-mail address you provide us with, will only be used to send you information and updates pertaining to your child’s swimming lessons (Please note; If at any time you would like to opt out from receiving e-mails, please let Natalie know. However, you will then not be updated with Swimming with Natalie news or term dates.)
To contact you with surveys and feedback requests (for example relating to our swimming lessons you or your child have attended)
COOKIES:
We use cookies (small text files which are transferred to your browser by the Sites to identify data traffic patterns, personalise contents and support security). They do not provide any information which might disclose the identity of a specific person but they may potentially identify your computer, our browser and your internet settings. You may change the storing of cookies in your browser settings at any time by selecting the function “accept no cookies”. However, disabling essential cookies may result in you no longer be able to use the entire functionality of the Site.



DATA SHARING:

You have the right to update and correct the personal information on your account. Safeguarding Children Policy

Swimming with Natalie SAFEGUARDING CHILDREN & VUNERABLE ADULTS POLICY
Rationale
The physical, emotional and spiritual welfare of our students is of significant importance.
Swimming with Natalie regards the need for safeguarding children from harm as vitally important and recognises under, The Children Act 1989 and Every Child Matters, it has a legal and moral duty to promote the well being of children, and to protect them from harm, and to respond to any allegations, signs or evidence of child abuse.
Swimming with Natalie believes that every child regardless of age has at all times and in all situations a right to feel safe and protected from any situation or practice that results in a child being physically, psychologically or spiritually damaged.
 Swimming with Natalie agrees that we have a primary responsibility for the care, welfare and safety of the children in our charge, and we will carry out this duty through our teaching. In order to achieve this, all employees will at all time act proactively in child welfare matters especially where there is a possibility that a child may be at risk of significant harm.
Swimming with Natalie hopes that parents/guardians and children will feel free to talk about any concerns and will see staff and locations as a safe place if there are any difficulties at home.
Children’s worries and fears will be taken seriously if they seek help from a member of staff. However, staff cannot promise confidentiality if concerns are such that a referral must be made to the appropriate agencies in order to safeguard the child’s welfare.
Policy
If we have concerns that a child’s physical, sexual or emotional well-being is being, or is likely to be, harmed, or that they are being neglected, we will take appropriate action in accordance with the procedures issued by the Local Authorities (LAs) Safeguarding Children Board.
As a consequence, we:
Ensure that all employees of Swimming with Natalie are an integral part of the child safeguarding process.
Accept totally that safeguarding children is an appropriate function for all employees of Swimming with Natalie
Will ensure through training and supervision that all employees are alert to the possibility that a child is at risk of suffering harm and know how to report concerns or suspicions.
Will designate a senior member of staff with knowledge and skills in recognising and acting on child protection concerns. They will act as a source of expertise and advice and is responsible for co-ordinating action within Swimming with Natalie and liaising with other agencies.
Will share our concerns with others who need to know and assist in any referral process.
Will ensure that all employees who have suspicion that a child may be suffering, or may be at risk of suffering significant harm, are aware of the need to refer such concerns to the designated person, who will refer on to Children’s Services in accordance with the procedures issued by the LAs Safeguarding Children Board. Employees will also be aware that they are able to refer such matters directly if they feel the need to.
Safeguard the welfare of children whilst in a Swimming with Natalie lesson, through positive measures to address bullying, especially where this is aggravated by sexual or racial factors, disability or special educational needs.
Will ensure that all employees are aware of the child protection procedures established by the LA Safeguarding Children Board and, where appropriate, the LA, and act on any guidance or advice given by them. This will be updated for all staff during CPDs.
Will ensure through our recruitment that all employees are suitable to work with children.
Will act swiftly and make appropriate referrals where an allegation is made that an employee of Swimming with Natalie has committed an offence against a child, harmed a child, or acted in a way that calls into question their suitability for working with children. 
PROCEDURES
Designated Member of Swimming with Natalie

The Swimming with Natalie designated senior member of staff for child protection is: Natalie Perrett – Company Owner
The designated person is key to ensuring that proper procedures and policies are in place and are followed with regard to child safeguarding issues. They will also act as a dedicated resource available for other employees.
All members of Swimming with Natalie must be made aware of who this person is and what their role is. The designated person will act as a source of advice and co-ordinate action within Swimming with Natalie child protection cases. They will need to liaise with other agencies and build good working relationships with colleagues from these agencies. The designated person is the first person to whom members of staff report concerns. The designated person is responsible for referring cases of suspected abuse or allegations to the relevant investigating agencies.
The designated person is responsible for dealing with allegations made against Swimming with Natalie employees.Safer Recruitment

In order to ensure that children are protected whilst attending Swimming with Natalie lessons, we will ensure that our staff are carefully selected, screened, trained and supervised. In particular
Check that all adults employed by Swimming with Natalie have an enhanced DSB check before starting work, and prior to conformation of employment.
Carry out identity checks to establish that applicants are correctly identified.
Check qualifications.
Check professional and character references prior to offering employment.

Volunteers
Volunteers will be given the same consideration as paid staff.
Where a parent or other volunteer helps on a one-off basis, they will only work under the direct supervision of a trained member of staff.Induction and Training
All new employees of Swimming with Natalie will receive induction training, which will give an overview of the organisation and ensure they know its purpose, values, services and structure, as well as identifying and reporting abuse and confidentiality issues.
All new employees will receive basic child protection information and a copy of this policy when commencing work with Swimming with Natalie.

Dealing with Concerns

Employees and volunteers are not required to investigate suspicion; if somebody believes that a child may be suffering, or may be at risk of suffering significant harm, they must always refer such concerns to the designated person, who will refer the matter to the relevant Children’s Services.

Employees and volunteers will follow the procedures below when:
Upon receipt of any information from a child, or if any person has suspicions that a child may be at risk of harm, or
If anyone observes injuries that appear to be non-accidental, or
Where a child makes a direct allegation, or implies that they have been abused,
Makes an allegation against a member of staff.
They must record what they have seen, heard or know accurately at the time the event occurred, and share their concerns with the designated person and agree actions to take
Swimming with Natalie will ensure that all employees are familiar with the procedures for keeping a confidential written record of any incidents.
Where any employee fails to report their concerns, this may be dealt with as a disciplinary matter.

Photographing Children
We understand that parents like to take photos of or video record their children.

Swimming with Natalie will not allow others to photograph or film children during lessons without the parent’s permission.
Swimming with Natalie will not allow images of children to be used on our website,  or any publicity, without permission from the parent, and if we do obtain such permission, we will not identify individual children by name.

Swimming with Natalie however cannot be held accountable for photographs or video footage taken by parents.

Confidentiality
Swimming with Natalie will ensure that all data about its customers is handled in accordance with the requirements of law and any national and local guidance.
Any employee who has access to sensitive information about a child or the child’s family must take all reasonable steps to ensure that such information is only disclosed to those who need to know.
Regardless of the duty of confidentiality, if any employee has reason to believe that a child may be suffering harm, or be at risk of harm, their duty is to forward the information without delay to the designated person.Conduct of Employees

Swimming with Natalie has a duty to ensure that professional behaviour applies to relationships between employees and children, and that all employees are clear about what constitutes appropriate behaviour and professional boundaries. At all times, members of staff are required to work in a professional way with children. All employees are to be aware of the dangers inherent in:
Working alone with children.
Physical interventions.
Cultural and gender stereotyping.
Dealing with sensitive information.
Giving to and receiving gifts from children and parents.
Contacting children through private telephones, texting, e-mail and social networking websites.
Disclosing personal information inappropriately.

Physical Contact and Restraint:
During Swimming with Natalie lessons, the teacher will at times have to make physical contact with a child. If a child is to be used for demonstration, then the parent/carer should be informed of what is going to happen. The child should be handed over after agreement has been sought and handed back immediately.
On occasion, teachers may have to make physical interventions with children. Employees should only do this where:
It is necessary to protect the child, or another person, from immediate danger, or
Where the member of staff has received suitable training.

Allegations against Employees:
If anyone makes an allegation that any employee of Swimming with Natalie may have:
Committed an offence against a child.
Placed a child at risk of significant harm, or
Behaved in a way that calls into question their suitability to work with children, the allegation will be dealt with in accordance with national guidance and agreements.

The designated person will handle such allegations; unless the allegation is against the designated person, then the STA will handle the response. The designated person will gather information, and report these immediately to the LA.
